Travel Project – Booking Terms & Conditions

Please read the following terms and conditions carefully. You must not make any booking unless you understand and agree to the following terms and conditions. References to “we”, “us”, or “our” in these terms mean Melbourne Travel Project Pty Ltd (ABN: 63635946093).
These terms and conditions apply to bookings made through our consultants (in-store, by phone, or via email) as well as online bookings made through our website.
We rely on the authority of the person making the booking to act on behalf of all travellers in the booking. That person is responsible for ensuring all travellers have read and accepted these terms and conditions.
Passports & Visas
All travellers must have a valid passport for international travel. Many countries require at least six months’ validity from the date of return, and some may require a machine-readable passport. Unless otherwise notified, we will assume all travellers hold a valid Australian passport. If this is not the case, please inform us immediately.
It is your responsibility to ensure all passports, visas, and re-entry permits meet the requirements of immigration and other government authorities. Any penalties, costs, or losses incurred as a result of non-compliance will be your responsibility (except where caused by our error).
We can provide general information on visa and passport requirements, or assist in obtaining specific advice from an external visa advisory service (fees apply). For online bookings, you may contact providers such as Visa Central directly. We do not warrant the accuracy of advice provided by external services and are not liable for any loss incurred due to their information (except to the extent caused by fault on our part).
If travelling to the United States, you must complete compulsory pre-registration under the ESTA program via https://esta.cbp.dhs.gov. Australian passport holders must hold either a valid ESTA or visa. Not all travellers will qualify for ESTA.
Travel Insurance
We strongly recommend that all travellers take out comprehensive travel insurance at the time of booking. Insurance should cover cancellation, medical and repatriation costs, personal liability, lost baggage, and any additional expenses that may arise during travel.
Your travel consultant can assist with insurance information and quotes. Insurance offered via credit card or reciprocal arrangements is often limited and may not provide sufficient cover. For full details, refer to the insurer's Financial Services Guide and Product Disclosure Statement.
Travel Advice
We recommend reviewing up-to-date travel advice from the Australian Government at www.smartraveller.gov.au, including destination-specific safety alerts. You can also register your travel details to assist with contact in emergencies.
Health
You are responsible for ensuring compliance with health and vaccination requirements for your destination(s). Entry may be denied if proof of vaccination (e.g., Yellow Fever) is not presented where required. We strongly recommend consulting your GP or a travel health clinic before departure.
Prices
All prices are subject to availability and can be withdrawn or varied without notice. A booking is only confirmed once paid in full. Prices may fluctuate due to external factors beyond our control, including currency exchange rates, fuel surcharges, tax changes, or airline pricing updates.
Please consult your travel consultant for current pricing at the time of booking.
Supplier Changes & Cancellation Fees
Cancelled bookings may incur fees of up to 100% of the booking value, even if travel has not commenced. Supplier fees may also apply for changes, reissues, or name corrections.
If we incur a supplier fee on your behalf due to a cancellation or amendment, you agree to reimburse us for that amount. Where a refund is due, we cannot process it until received from the supplier.
Payments by BPAY
BPAY payments may take up to 3 business days to process. Please allow adequate time and notify your consultant once payment has been made.

Payments by Cryptocurrency
If you are entitled to a refund for a payment made in cryptocurrency, we reserve the right, at our sole discretion, to issue the refund either in the same type and amount of cryptocurrency originally received, or in Australian Dollars equivalent to the AUD value of your payment.
The method of refund will be determined by us and is not subject to your preference. Cryptocurrency values may fluctuate significantly between the time of payment and refund. If refunded in cryptocurrency, the AUD value may be lower than at the time of payment. If refunded in AUD, the value may be less than the current market value of the crypto originally provided.
All cryptocurrency transaction and processing fees are strictly non-refundable. By paying with cryptocurrency, you accept these risks and agree that you are not entitled to any appreciation in value that may occur after your payment is made.
Agency Role
We act as an agent for travel service providers including airlines, accommodation, cruise operators, wholesalers, and ground operators. We arrange bookings on your behalf but are not the provider of these services.
Bookings are subject to the individual terms and conditions of each provider. These include (but are not limited to) conditions of carriage, liability limitations, and refund rules. Your legal rights in connection with your travel are with the provider of the service, not with us—unless the issue arises due to our error or negligence.
We can supply the relevant supplier terms and conditions upon request.
Affiliate & Independent Advisor Disclaimer
Travel Project (Melbourne Travel Project Pty Ltd) operates as a host agency platform for a network of independently contracted travel designers. While some advisors may operate under the Travel Project brand (branded or co-branded), they are independent contractors responsible for their own advice, conduct, and client service delivery. Each advisor is required to maintain their own Professional Indemnity and Public Liability insurance.
Your travel booking may be facilitated by one of these independently contracted travel advisors. While they may use Travel Project branding, tools, and systems, your contractual relationship is with the individual advisor and/or the relevant travel supplier(s) — not directly with Melbourne Travel Project Pty Ltd.
In cases where Travel Project provides administrative support, payment processing, or concierge services on behalf of your advisor, this is done under a co-managed model. Travel Project does not accept liability for the acts, omissions, or representations of independently contracted advisors.
Liability
To the fullest extent permitted by law, Melbourne Travel Project and its directors, employees, and agents are not liable for any loss, damage, injury, delay, or expense caused by third-party service providers, force majeure events, or any other event outside our control.
Where liability cannot be excluded under law, it is limited to the remedies available under the Competition and Consumer Act 2010 (Cth) or other applicable legislation. You may have rights under the Australian Consumer Law which are not excluded by these terms.
Our liability is also subject to any applicable international conventions which limit compensation (e.g. the Montreal Convention for air travel).
Privacy Policy
We are committed to protecting your personal information in accordance with our Privacy Policy. By providing personal information, you consent to its use, storage, and disclosure as outlined in that policy.
This may include sharing your information with overseas service providers (e.g. hotels, airlines) or affiliated businesses to facilitate your travel. We are not responsible for ensuring overseas recipients comply with Australian privacy laws.
Acknowledgement
By proceeding with a booking, you confirm that you are 18 years of age or older, and that you have read, understood, and agree to these Terms & Conditions and our Privacy Policy. You also acknowledge that you are authorised to accept these terms on behalf of all travellers listed in your booking.
